The Audi Sport Festival of Motoring at Kyalami Grand Prix Circuit is one of South Africa's premier automotive events — attracting thousands of general visitors and a curated audience of VIP guests, loyal customers, media, and influencers across four days. For Audi Sport, the event demanded more than a stand: it required a complete, technology-driven guest experience that could handle multiple guest tiers, real-time capacity management, and seamless on-site operations simultaneously.

The brief was complex:
 — A dedicated distributor portal for 14 dealerships to manage their own guest lists and VIP ticket allocations
 — A branded VIP invitation flow with microsite registration, track experience booking, and confirmation communications
 — A general guest RFID booking system with 7 on-site plinths, standby queuing, and real-time slot management
 — Biometric RFID access control at both the Pits and Skidpan entry points with SMS reminders
 — A roaming photographer activation that auto-delivered photos to guests via SMS and email
 — A live Twitter Social Screen to drive social content inside the Audi Sport stand

Custom Audi Sport Ticket Distributor Portal — 14 Dealerships

1. Custom Ticket Distributor Portal — 14 Dealerships, 1,000 VIP Tickets

Social Wiiv built a custom branded Audi Sport Ticket Distributor Portal — onboarding all 14 Audi dealerships across South Africa as individual ticket distributors, each with their own secure login. From the portal, every dealership could allocate and send VIP tickets to their employees, loyal customers, suppliers, media contacts, and influencers using their preferred communication channel.

Multiple Distribution Channels — invites could be sent in bulk via Excel upload, or individually via WhatsApp, Email, or SMS — giving each dealership the flexibility to reach their own guest list naturally
Live Dashboard per Distributor — each dealership had real-time visibility of every invite they sent: accepted, pending, declined, or cancelled — full transparency without central coordination
Controlled Ticket Allocation — tickets were pre-allocated per dealership and could only be distributed within their quota, preventing over-invitation and maintaining total event capacity control
VIP Registration & Track Booking — on accepting their invite, guests registered on the custom branded Microsite and could book a Track Experience and Skidpan Experience (date and time) before general festival access guests — priority access as a VIP benefit
Festival Ticket & QR Code — on confirmation, each VIP guest received their Festival Ticket plus a unique QR Code to register at the Audi Stand on arrival — where staff linked their profile to an RFID wristband containing their full booking information

2. RFID Registration — 7 Touch Screen Booking Plinths

General Access festival guests registered on the Audi Sport Microsite to receive their personal QR Code. On arrival at the Audi Stand, staff scanned each guest's QR Code and linked their account to an RFID Wristband. Guests then proceeded to one of 7 branded touch screen RFID plinths located throughout the Audi Sport zone to book their track or Skidpan experience.

Day-of Booking Only — the RFID plinths displayed only the current day's schedule, so guests could book a Track Experience or Skidpan Experience for that day's remaining available timeslots
Standby Booking — if all timeslots were fully booked, guests could register for a Standby booking and move to the front of the queue should a confirmed guest not arrive in time
RFID Wristband as Identity — one wristband, one profile: each swipe on any plinth instantly retrieved the guest's registration, existing bookings, and available options — no app, no login required on-site

3. RFID Access Control — Pits & Skidpan Entry

Once a guest had booked their experience, the platform automatically sent an SMS reminder 15 minutes before their booking time — prompting them to head to the Track (Pits) or Skidpan. On arrival at either entry point, guests and VIPs swiped their RFID wristband on the access control plinth. The system instantly confirmed whether they had an active booking for the current timeslot — allowing staff to approve or deny entry accordingly.

4. Roaming Activation Photos — RFID-Triggered Auto-Delivery

A roaming photographer captured guests throughout the Audi Sport activation using a professional DSLR camera connected to WiFi, which transferred photos in real time to a dedicated tablet station. Guests could browse and select their photos on the tablet, then swipe their RFID wristband to trigger instant delivery of their chosen image — automatically sent via both SMS and Email for easy social sharing.

5. Twitter Social Screen — Live Tweet Display & Roaming Photo Rotation

Social Wiiv hosted a real-time Tweet Screen inside the Audi Sport Stand — capturing Tweets from Twitter using selected campaign hashtags. All incoming posts passed through a moderation queue, and approved Tweets were displayed live across two large LED TV screens prominently positioned within the stand. The live display created an organic incentive loop: guests who saw their content on screen were prompted to post more — naturally driving social reach and conversation from inside the event.

Saturday was the peak activation day with 1,731 registrations — more than double Thursday's opening figure — reflecting the typical festival build across a multi-day event. Sunday maintained strong engagement with 1,590 registrations and the highest Skidpan Participant count of any single day (641), suggesting that by the final day, guests had become more familiar and confident with the booking process and were more actively converting to hands-on experiences.

The Pits check-in conversion rate was consistently high across all four days — confirming that the SMS reminder system and the RFID access control mechanism together drove strong show-up rates against confirmed bookings. The standby lane further maximised slot utilisation by ensuring no Pits or Skidpan experience timeslot went unfilled when a confirmed guest did not arrive.
