Managing a nationwide ticket distribution and a multi-system event experience across one day.

GWM's FamFest was a landmark milestone — 18 years in South Africa celebrated with employees, loyal customers, suppliers, media, and influencers gathered at Syringa Park for a full-day family festival. But pulling it off required solving several distinct operational challenges simultaneously.

With 42 dealerships spread across the country, each needing to distribute tickets to different audiences, GWM needed a centralised platform that could handle thousands of tickets without losing control of who was actually attending. The risk of ticket fraud — screenshots being passed around, tickets being shared with unintended guests — required a technical solution, not just a policy.

On top of ticketing, the event required:
 — A 4x4 off-road experience for guests requiring timeslot booking, indemnity waiver signing, and on-site QR check-in
 — Tablet-based access control at the venue gates with real-time guest validation and wristband allocation
 — A fully cashless payment system for all 14 on-site vendors, loaded with pre-allocated wallet credit for every attending guest

Social Wiiv deployed a fully white-labelled event platform for GWM FamFest — combining a secure RSVP and ticketing engine, a 42-dealership distributor portal, a 4x4 booking system, tablet-based access control, and a cashless wallet solution into a single connected experience, all under the GWM brand.

1. RSVP & Ticketing — White Label with Anti-Fraud QR Technology

The entire invitation and ticket management process ran through Social Wiiv's fully white-labelled ticketing platform — branded with GWM's identity, powered by a custom email address (famfest@gwmevents.co.za), and built with custom-designed email templates for every communication touchpoint.

Live Rotating QR Codes — every guest's ticket was linked to a QR code that regenerated every 30 seconds. Screenshots were useless: the code would be expired before anyone else could attempt to use it, eliminating ticket sharing or impersonation
Invite a Friend / Family — guests who held multiple tickets could share them via WhatsApp, Email, or SMS directly from the WebApp. The recipient had to register and accept the ticket, ensuring every attendee had a verified identity in the system
Minor Ticket Assignment — for children under 18, the guest could assign the ticket directly to a minor without requiring the child to register or accept the invite, streamlining the family registration experience
Custom Branded Communications — all invitations, confirmations, and reminders were sent from famfest@gwmevents.co.za with fully custom GWM-branded email templates, maintaining a premium event feel from the first touch

2. Ticket Distributor Portal — 42 Dealerships, 7,422 Tickets

All 42 GWM dealerships across South Africa were onboarded as ticket distributors — each with their own login to a dedicated Distributor Portal. From there, every dealership could allocate and send tickets to their employees, loyal customers, suppliers, media contacts, and influencers using their preferred channel.

Multiple Distribution Channels — invites could be sent in bulk via Excel upload, or individually via WhatsApp, Email Address, or SMS — giving each dealership the flexibility to reach their own guest list in the most natural way
Live Dashboard per Distributor — each dealership could see the real-time status of every invite they had sent: accepted, pending, declined, or cancelled — giving full visibility without needing central coordination
Controlled Ticket Allocation — tickets were pre-allocated per dealership and could only be distributed within their quota, preventing over-invitation and maintaining total event capacity control

3. 4x4 Off-Road Booking Engine — Timeslots, Waivers & QR Check-in

GWM's FamFest included an exclusive 4x4 off-road experience with 6 vehicles — one of the most anticipated activations of the day. To manage demand and ensure safety compliance, Social Wiiv built a full booking engine directly into the WebApp, allowing guests to reserve a timeslot, sign a digital indemnity waiver, and check in on the day using their QR code.

Timeslot Booking — guests browsed available time slots in the WebApp and selected their preferred session for the 4x4 experience, preventing queues and ensuring capacity was managed per vehicle
Digital Waiver / Indemnity — before their booking was confirmed, guests completed and signed a digital indemnity form within the WebApp, creating a signed record for each participant
QR Check-in on the Day — check-in staff at the 4x4 zone used tablets to scan each guest's QR code, validating their booking timeslot and checking them in for the experience

4. Access Control — Smart Gate Management with Instant Ticket Validation

Six dedicated access control staff were stationed at the venue entrance, each equipped with a tablet running the Social Wiiv access control interface. As guests arrived, their QR code was scanned to validate their ticket and retrieve their full entry profile in real time.

Instant QR Validation — scanning a guest's QR code immediately displayed their ticket type (General Access or VIP) and a full summary of any minors linked to their booking, enabling staff to process each guest accurately and quickly
Ticket Tier Display — staff could see at a glance whether a guest was on General Access or VIP, allowing the correct wristband colour to be issued without manual checks or printed lists
Minor Visibility — any minors assigned to a guest's booking were displayed at check-in, ensuring families were processed as a unit with the correct number of wristbands issued per group

5. Cashless Wallet System — R180 Per Guest, 14 Vendors

Every guest who checked in at the venue had R180 in credit automatically loaded into their GWM WebApp wallet. This could be spent across any of the 14 vendors operating at Syringa Park — all running the Social Wiiv cashless payment system on allocated tablets.

QR-Based Payment — guests opened their GWM WebApp, displayed their personal QR code, and the vendor scanned it to process the transaction — no cash, no card, no friction
Instant Guest Notifications — every transaction triggered an immediate in-app notification showing the spend amount, remaining wallet balance, and a running transaction history — keeping guests in full control of their credit
Vendor Dashboard — each of the 14 vendors had their own tablet login showing a full transaction history, transaction count, and total sales amount — enabling real-time settlement reporting without any manual reconciliation
Wallet Balance View — guests could check their current wallet balance and view a full list of all purchases at any point during the event, eliminating the "how much do I have left?" uncertainty

The rotating QR code technology was the defining security feature of the event — by regenerating every 30 seconds, it made ticket screenshots worthless and completely eliminated the risk of ticket sharing or impersonation at the gates. Combined with the verified registration requirement for invited guests, GWM had full confidence in who was on their guest list before the first gate even opened.

The 67% spend rate on cashless credit (R225,818 of R336,420 allocated) reflects strong vendor engagement and the ease of the QR-based payment experience. With 1,816 transactions across 14 vendors, the cashless system averaged over 129 transactions per vendor — with zero cash-handling, zero reconciliation delays, and real-time visibility for each vendor on their own tablet.
